Will e-Delivery have an impact on KSeF?
In recent years, Poland has seen a number of changes aimed at digitization of administrative and tax processes administration and taxation. Two key systems that are generating a lot of buzz among entrepreneurs are e-Delivery and KSeF (National e-Invoice System).However, do these two tools have any relation to each other? Will the introduction of e-Consignments affect the operation of KSeF? We answer these questions in the article below.
What are e-Delivery and KSeF?
Before we move on to analyze the mutual impact of these systems, it is worth recalling what they are and their functions.
- e-Delivery is a system for electronic correspondence with offices and courts, which is expected to replace traditional registered letters. It will allow citizens, businesses and institutions to receive and send official letters in digital form with acknowledgment of receipt.
- Implementation status for 2025: The e-Guarantee system is already mandatory for public administration and companies registered with the National Court Register. Entrepreneurs with sole proprietorships will be required to use e-Guarantees starting in 2025, but implementation will be gradual.
- KSeF (National e-Invoice System) is a platform for issuing, receiving and storing electronic invoices in a structured format. Its goal is to automate and tighten the tax system and reduce settlement time between companies.
Will e-Delivery affect KSeF?
No direct functional link
The two systems are independent of each other and have different purposes. KSeF deals with invoicing and tax settlements, while e-Delivery is used to communicate with authorities. Entrepreneurs using KSeF do not automatically have to use e-Delivery for the same purpose.
Common direction: digitization of administrative processes
Although e-Delivery and KSeF are not closely related, the two systems are part of a broad plan to digitization of administration and economic processes in Poland. Their introduction is expected to reduce bureaucracy and simplify contacts between entrepreneurs and offices.
Possible integration in the future
It is not ruled out that in the future e-Delivery may be used to notify companies of important information related to KSeF, such as invoice errors, new regulations or tax audits. At this point, however, there is no official information on such integration.
Obligation for entrepreneurs
Both e-Delivery and KSeF will be mandatory for businesses in the future:
- KSeF from 2025 (exact implementation date still unknown after postponement).
- e-Deliveries from 2025 are mandatory for newly registered sole proprietorships, and are already required for companies registered with the KRS and public administration. This means that in practice many companies will have to use both systems simultaneously, albeit for different purposes.
At this point e-Delivery has no direct impact on KSeF, as they perform other functions. However, both systems are elements of the digitization of Polish administration and may complement each other in the future. Entrepreneurs should keep an eye on regulatory changes and adjust to the new requirements to avoid problems with the implementation of both systems.
