Signature and qualified seal in a small business. KSeF—no more paperwork, security, and easy login
For many owners of sole proprietorships (JDG) and small businesses, the prospect of a mandatory National e-Invoice System (KSeF) may seem like yet another bureaucratic obstacle.
This obligation will apply to smaller entities from April 1, 2026 (and the smallest taxpayers exempt from VAT from January 1, 2027) . However, it is worth looking at this system not as a constraint, but as an opportunity. The key to taking advantage of it is professional trust services: qualified electronic signatures (QES) and, in the case of companies, qualified electronic seal.
Login – why choose a qualified signature?
Many entrepreneurs ask: "What are the technical requirements for using KSeF?"For small businesses, these requirements are minimal—the most important thing is secure authentication.
As a natural person conducting business activity, you have a choice:
- Trusted signature (PZ): A free solution, good for starters, but combining the private and professional spheres.
- Qualified electronic signature (QES): This solution is for professionals. QES is your digital, universal signature, recognized throughout the EU.
Why is it worth choosing a qualified signature?
- Independence
- You are not dependent on banking systems or the ePUAP platform.
- Safety
- The qualified electronic signature (QES) is separate from your private affairs (e.g., a trusted profile used for private official matters).
- Automation
- If your company is planning to expand, only a qualified signature (QES) or a qualified seal for (QSeal companies) will allow you to generate KSeFcertificates , which will enable automatic sending of invoices from accounting programs without the need for manual logging in.
Offline mode and two QR codes – Higher level of verification
The situation becomes more interesting when the seller issues an invoice in OFFLINE (e.g. during a system failure). Such an invoice has not yet been sent to KSeF, so the system cannot confirm its existence. So how can you check if the document is not fake?
In this case, the invoice must include two QR codes:
- Code I (OFFLINE)
- It contains invoice data that will allow you to find it once the system is back up and running.
- Code II (CERTIFICATE)
- This is key to security. It is used to verify the identity of the issuer.
Qualified seal – a professional image for a small company
If you run a small company (e.g., a limited liability company), a qualified electronic seal (QSeal) is a tool that takes your company to a higher level of digitization. It allows you to automatically log into KSeF as a legal entity, without the need to involve private signatures of the management board for each operation.
No more "scam invoices"
One of the most common questions is: "What are the benefits of using KSeF for small businesses?". The answer is: security, which is guaranteed by a system based on strong authentication.
Have you ever received an invoice for a service you didn't order? This is known as a scam invoices. KSeF 2.0 has a built-in functionality for for reporting abuse. If a suspicious invoice appears in your account, you can report it as a "scam" directly in the system. Thanks to the fact that every KSeF user is verified (e.g., by QES), fraudsters lose their anonymity.
Organized documentation and faster VAT refunds
KSeF also means no more lost documents. Invoices are stored in the system for 10 years. You don't have to print binders or worry about archiving.
An additional bonus is the reduction of the basic VAT refund period from 60 to 40 days. This is a real and measurable benefit for the financial liquidity of a small business.
KSeF does not have to be intimidating for small businesses. Thanks to free tools (taxpayer application) and professional login methods (qualified signature and electronic seal), entering the digital document flow becomes an investment in security and convenience.
