How do I access KSeF? ZAW-FA vs. Seal

Choosing how to access KSeF is a decision that affects the reliability of your invoices. Find out why a qualified digital seal beats the red tape of the ZAW-FA system.

The Battle for Access to KSeF: ZAW-FA vs. the Qualified Seal. Why Does the "Digital Stamp" Knock Out the Paper Application?

Every business (limited liability company, general partnership, limited partnership, etc.) faces the same dilemma: how to “open the door” to the National e-Invoice System? There are two options. The first is the bureaucratic route via the ZAW-FA form. The second is the technological highway using a qualified digital seal.

At podpisano.pl simple solutions, which is why we’ve put together a list that clearly shows why making a company’s system dependent on a single person is a risky move.

Administrative process - ZAW-FA (Notice of Authorization)

This is a solution in which the CEO or an authorized signatory “manually” designates a specific person (e.g., themselves or an accountant) at the tax office to manage the company’s invoices.

  • How does it work? Permissions are assigned to a specific person’s PESEL number.
  • Risk? This solution relies on the “human factor.”

Technology Path - Qualified Electronic Seal (QSeal)

This is the digital equivalent a company stamp, but with legal validity equal to a handwritten signature (in the context of data integrity). The certificate contains company data (tax ID, business registration number, name), not John Smith’s personal data.

  • How does it work? Permissions are assigned to the COMPANY as a legal entity.
  • Advantage: This solution is based on a “technological factor.”

Why does the Qualified Seal win this showdown? 3 hard facts

As experts in trust services, we recommend a company seal as standard for every company. Here’s why:

  1. Independence from employee turnover. Imagine that the only person listed in the ZAW-FA leaves the company amid conflict. By the time you resolve this with the Tax Office, your company may face issues with issuing invoices. The qualified seal belongs to the company—it remains with the company regardless of who comes and goes. That’s the stability your business needs.

  1. Professional automation. If you plan to have your accounting system send invoices automatically, a seal is the natural choice. Tokens generated by the seal are “impersonal”—they pertain to the company. Tokens generated via ZAW-FA are always linked to the person who created them. If that person loses their permissions, the tokens may stop working, and automation will come to a halt.

  1. Digital hygiene. Using a personal Trusted Profile or an employee’s personal digital signature to log in to a company’s KSeF account blurs the line between personal life and work. A digital seal is a purely business tool. It’s a professional approach to #paperless.

Verdict

ZAW-FA is a prosthesis – suitable for starting for micro-businesses where the owner does everything themselves. However, if you’re serious about your business, want to sleep soundly, and not worry about whether “Ms. Basia has a valid signature,” choose a Qualified Seal. It’s an investment in the security and reliability of your accounting processes.

Using an electronic seal is the fastest way to“activate”your business in KSeF. You avoid trips to the office, and the entire process takes just a few minutes at your computer.

Keep in mind, however, that the seal is primarily used to open doors and for administrative purposes—for day-to-day operations, it’s best to authorize specific employees or IT systems.
