Why is this an absolute must in digital trust services?
When we hear „But why do I need these updates, after all, everything was working!” on the podpisano.pl hotline, we know that in a moment the conversation will start about why the qualified signature suddenly stopped working. And while for many people updates are an „unnecessary headache,” in the world of digital trust services is one of the most important elements of safety and reliability.
Today, in our „worth knowing” series, we will show why you should make friends with this hated message: „A new version of the system/application is available.”.
Why are updates so important?
1. safety first
A qualified digital signature is not just an ordinary application—it is a legal tool. It has the same legal force as a handwritten signature, so it must be absolutely secure. Software updates (e.g., proCertum SmartSign, SimplySign, operating systems, and drivers for card readers) patch security vulnerabilities that could be exploited by cybercriminals.
Without updates, you run the risk that your data or signed documents could be vulnerable to attack. And in a world of digital trust There is no room for compromise.
2. changing regulations and standards
Law and technical standards (e.g. eIDAS, ETSI) are regularly changing. This is the reason why software manufacturers need to adapt applications to new requirements.
An example? New signature formats (PAdES, XAdES, CAdES) or changes to the structure of certificates. Without an update, the application may simply „not recognize” documents prepared according to the new standards.
3. stability and compatibility
The operating system, browser, driver or application - everything must work together. If one element is outdated, there is a domino effect:
- signature doesn't work,
- application crashes,
- The reader is not detected.
The result is frustration and calls to the helpdesk instead of a quick contract or sending a report to KRS.
Why do users avoid updating?
In our experience, the reasons are very similar:
- „Because there's always something that doesn't work afterwards.” - is a myth. In fact, the problem only occurs when you update the system but leave the old drivers or vice versa. Everything should be consistent.
- „Because it takes time.” - This is true, but how much time do you lose when the signature suddenly stops working? Updating takes a few minutes, troubleshooting - often an hour or more.
- „Because what's the point if it works now”.” - the problem is that it works now. And tomorrow, a document signed in the new format may no longer be accepted.
- “Because I have to ask IT.” - And that takes time that I don't have right now. I focus on working in the here and now, not on technical challenges, which are unnecessary.
Updating is part of the „chain of trust”
Earlier in our „worth knowing” series, we wrote about the long-term validity of signatures and about timestamps. There, we showed that the mere submission of a signature is only the beginning - you need to take care of its maintenance.
Software updates are the same mechanism - they guarantee that signatures and documents will be recognized and respected not only today, but also in the future. In other words:
- A signature without updates = a signature that no one trusts,
- Signature with update = signature that can always be verified.
And what is it like in practice?
An example from our everyday life
- The customer calls and says: „I can't sign the financial statements, after all, I did it a year ago and it was OK!”
- Check: Windows updated, but reader drivers 3 years old. The result? The system does not see the card. Solution: 5 minutes to install the new version and the signature works like gold.
We have dozens of such stories. The common denominator is always the same: lack of updates.
What is worth updating?
- Operating system (Windows, macOS, Android, iOS).
- Signature applications (proCertum SmartSign, SimplySign).
- Cryptographic reader and card drivers.
- Web browsers (often used in the online signing process).
A simple rule of thumb: if there is a message about a new version - don't put it off, do it right away.
Want to make sure your signatures always work?
Updates are not a fad of manufacturers, but the foundation of security and reliability of digital trust services.
Thanks to them:
- Your signature always works,
- The documents comply with the law and standards,
- You save time and nerves.
Is it worth updating? Definitely yes. Otherwise, you run the risk that at the most important moment - when you sign a life contract or file a document in court - the system will tell you: „The signature cannot be verified.”.
And that's when it really gets tricky.
