In one of our earlier articles titled. "How many e-Delivery boxes can a company, citizen, office have? A Guide with Examples," we explained that any entity, including a law firm run by an attorney, notary or legal counsel, can formally have only one ADE address in the Electronic Address Database. With some exceptions-for example, for those with multiple roles (individual + business + public trust profession)-you can have several addresses, but in practice each is a separate ADE, assigned to a specific function or entity.
This means that a law firm serving many clients still gets all correspondence in one box, which creates a real organizational challenge - manual sorting can be tedious, unreliable and lead to important mail being overlooked.
New on the horizon - solutions dedicated to law firms
With this challenge in mind, Asseco Data Systems has announced the introduction of a new functionality specifically for law firms in Q3 2025. While it will still be possible to have only one ADE address, there will be the ability to tagging shipments, assigning them to clients and cases and create virtual internal structures for the mailbox. In other words - a one ADE, but operating like multiple workboxes. Such a solution will be particularly useful for law firms with a large volume of correspondence, which need to maintain transparency and order.
Therefore, today we are focusing on practical system solutionsthat allow law firms to practice the public trust profession efficiently and securely, without the need to set up multiple ADEs. In particular, we are looking at the tools offered by Asseco Data Systems (Certum) - from premium plans to advanced APIs in the Enterprise version. With these a single ADE address can act as boxes dedicated to clients and cases, with automatic sorting, assignment and full supervision - clutter-free and secure. Let's see how it works.
Challenge: one ADE box = clutter or challenge?
Public trust professions - lawyers, notaries - can formally have only one one ADE address for the law firm, even though they serve many clients. As a result, all e-Deliveries (with clients, offices, etc.) come to the same mailbox, which makes manual sorting cumbersome and error-prone.
Key question: Can you reign in the chaos and make one ADE and act like many - assigned to different clients and cases?
Certum solutions - or how to control clutter without additional addresses
1. multi-user and roles in the box
With the "invitation and authorization" function, the law firm can:
- Grant access to specific employees (e.g., secretary, attorney),
- Ensure tracking of who received which shipment,
- avoid a single common login - maintaining transparency and accountability
2. contact book and filters
Certum allows you to define your contacts:
- Download customer data from BAE by REGON/NIP/KRS,
- Add ADE customers manually,
- apply filters: sender, recipient, date, labels - which allows segregation of shipments by client/case
3 Rules and automation via API (Enterprise package)
The Enterprise version gives access to User Agent API (UA API), through which you can:
- Download shipments automatically,
- assign them to cases in the DMS/BPM system,
- create rules: contact X → folder Y,
- trigger email/SMS notifications,
- archive and monitor correspondence without manually handling the Certum mailbox
Recommended sets for law firms
Size of the law firm | Recommended Certum plan | Key features |
Small | Premium (50 users) | shared logins, contact book, filters |
Average | Premium + authorizations | Dedicated users, notifications, highlighting correspondence |
Large / corporate law firm | Enterprise (UA/SE API) | Automatic retrieval and sorting, rules, full integration with DMS/BPM |
This approach allows for efficient handling of multiple customers without chaos in the ADE box.
How to control clutter step by step
- Determine the address structure - Determine the list of clients and assign internal aliases/cases.
- Establish an ADE (or transfer an existing one) By Certum as a public trust professional or law firm
- Invite employees with appropriate roles - each their own login, full control
- Build a book of contacts - Import customers from BAE, tag ADE customers.
- Enter filters or API rules, depending on the selected plan.
- Monitor and optimize - use reports, notifications and folders.
One address, order as in several boxes
With Certum features, the ADE box:
- serves many people at the same time,
- allows manual and automatic filtering of correspondence,
- Allows you to assign shipments to specific customers and cases,
- works without having to create multiple ADE addresses.
➡️ Recommendation: Small and medium-sized law firms can operate with peace of mind on the Premiumwhile larger ones - reach for Enterprise with API, which gives full automation and order without stress.
